How to Take Payment for Online Tutoring Sessions
Most tutors are paid the way they started: a bank transfer after the lesson, or a monthly message to every parent with a total. It works until it does not, the term gets busy, two families pay late, and the hour you spend reconciling payments is an hour you did not teach.
Why payment belongs before the lesson
Payment after the lesson turns you into a credit provider. You have already delivered the work, so every late payer is a conversation you have to start, usually with someone whose child you will see again next week.
Payment at booking reverses that. The lesson is only on your timetable once it is paid for, so there is nothing to chase, no running total to keep, and no awkward message to write. It also settles the question of no-shows: a missed lesson that was paid for is a cancellation policy question, not a lost fee.
The shift: When students pay as they book, the only payment admin left is the occasional refund, and that can be automatic too.
One-to-one lessons: a price on the slot
For individual lessons the simplest setup is a booking page with your weekly availability and a price on each lesson. A student or parent picks a time, pays by card, and receives a confirmation with the join link. The lesson appears in your calendar; a slot already taken by something else in your calendar never appears on the page.
Publish the price and the length together, in the lesson title if you can. "60-minute maths lesson, €45" answers the two questions people otherwise email you about.
- Set your teaching hours per weekday once, so the same slots stay published week after week.
- Block holidays and exam weeks so those dates disappear from the page.
- Use a separate lesson type for each length or level rather than one generic "lesson".
Group classes: charge per seat, not per session
Group lessons are where informal payment breaks down fastest. Ten students, ten payments, and one shared session that only runs if enough of them actually turn up.
The cleaner model is a class with a seat limit, where every student books and pays for their own seat. Each seat gets its own confirmation and its own join link, the class closes to new sign-ups when the last seat goes, and you never have to work out who has paid for which week.
- Set a seat limit that matches how many students you can actually teach well.
- Price per seat, so a class of four and a class of ten are both paid for correctly.
- Run a free trial class next to the paid ones; a free class costs you nothing to host.
Cancellations and refunds without the back-and-forth
Decide your rule once and publish it: how close to the lesson a student may cancel and still get their money back. Twenty-four hours is a common and easily understood default.
Then let the system apply it. In BooknTalk you can let students cancel themselves: the confirmation email carries a cancellation link that works until your deadline, a paid lesson or seat cancelled in time is refunded in full automatically, and the freed slot or seat becomes bookable again. After the deadline the link stops working, so the rule enforces itself.
Worth knowing: Self-cancellation is off until you turn it on, so you can start with every change going through you and switch it on once your policy is settled.
What taking payments costs
Card payments run through Stripe, into your own Stripe account, and Stripe charges its usual card processing fee. On top of that, BooknTalk charges €1 per paid booking, whatever the lesson price, with no monthly fee. In a group class that means €1 per paid seat. If a lesson is refunded, the €1 is refunded with it, and free lessons or trial classes cost nothing however many students join.
One honest limit: each lesson is booked and paid for on its own. If your teaching is sold as a whole term or a block of lessons in one payment, a per-lesson booking page is the wrong shape for it.
Frequently asked questions
Should tutors take payment before or after the lesson?
Before. Payment at booking means the lesson is only on your timetable once it is paid for, so there are no late payers to chase and a no-show is covered by your cancellation policy rather than lost.
How do I charge for group tutoring sessions?
Price each seat rather than the whole session. With a seat limit on the class, every student books and pays for their own seat, gets their own join link, and the class stops accepting sign-ups when it is full.
How do refunds work if a student cancels?
Publish a cancellation deadline, 24 hours before the lesson is common. With self-cancellation enabled in BooknTalk, a paid lesson cancelled before your deadline is refunded in full automatically and the slot reopens for someone else.
What does it cost to take payments for tutoring online?
Stripe charges its standard card processing fee. BooknTalk adds €1 per paid booking, or per paid seat in a group class, with no monthly fee. Refunded bookings and free lessons cost nothing.
Getting paid for tutoring is mostly a question of order: once the payment comes first, the chasing, the spreadsheets and the uncomfortable reminders disappear on their own.
