Online Booking for In-Person Appointments
Most scheduling tools quietly assume the meeting happens on a screen. Plenty of work does not: a physiotherapy session, a haircut, a property viewing, a coaching walk, a workshop in a rented room. The booking still belongs online. What changes is the one thing a client needs to know besides the time, which is where to go.
Why in-person sessions still need online booking
Booking by phone or message works until it does not. Every appointment becomes a short negotiation about which times are free, the details end up in a chat thread, and the address gets typed out by hand, slightly differently, every time.
A booking page moves all of that to the client. They see only the hours you are actually free, pick one, and leave with a confirmation that already says when and where. You stop being the switchboard for your own calendar, and the people who used to message you at 23:00 asking whether Thursday works simply book Thursday.
The difference: For a video call the link is the meeting. For an in-person session the address is, so it has to travel with the booking as reliably as a link would.
Setting up an in-person event
In BooknTalk an event is in person because it has an address, there is no separate mode to keep in step with it. Open the event, switch on In-person meeting, and type the address. Everything else, your availability, the duration, the price, team members and reminders, works exactly as it does for an online session.
Write the address the way you would give it to a visitor rather than the way a map would. There is room for 500 characters, which is enough for the street and the practical part people actually get stuck on.
- Street, number and city, so a calendar app can turn it into a map.
- Floor, door or buzzer: "2nd floor, ring the top bell" saves a phone call from the pavement.
- Anything specific to the place, such as parking or which entrance is open in the evening.
What your client receives
An in-person event gets no video link at all. Online sessions in BooknTalk come with their own video room by default; switching an event to in person removes it, so nobody is left wondering whether they were supposed to join a call instead.
The address takes the link’s place everywhere the link would have been:
- The booking confirmation email, next to the date and time.
- Every reminder you schedule before the session.
- The calendar invitation, in its location field, which is where Google Calendar, Outlook and Apple Calendar look for it and turn it into directions.
- The new confirmation if the booking is moved to another time.
Why the calendar matters: On the day, most clients do not reopen your email. They tap the entry in their calendar, so an address in the location field is the one they actually navigate with.
Taking payment before they arrive
An empty chair costs you more in person than online. You may have rented the room, travelled in, or turned someone else away for that hour. Payment at booking settles that: the appointment only reaches your calendar once it is paid for, and a client who does not turn up is a question for your cancellation policy rather than a lost fee.
Payment runs through Stripe, straight into your own Stripe account, and nobody has to bring cash or settle up on the way out. If you let clients cancel themselves, a paid booking cancelled before your deadline is refunded in full automatically and the slot reopens for someone else.
Group classes held in a room
The address works the same way on a classroom event: a yoga class in a studio, a workshop in a meeting room, a language course in a café’s back room. Set a seat limit, and every attendee gets the address in their own confirmation and calendar invite while each one books and pays for their own seat.
When the last seat goes, the session stops taking registrations, and if someone cancels, their seat becomes bookable again on its own.
Running in-person and online side by side
Many people do both: first meetings at the office, follow-ups by video, or the same session offered in either form. The address belongs to the event, not to the person running it, so the cleanest setup is one event for each place.
- Offer an in-person and an online version of the same session as two events, and let the client pick.
- Working from two locations? Create one event per address, so nobody is sent to the wrong one.
- Put the area in the event title or description, "Initial consultation, Amsterdam office", so people know where it is before they book.
- Leave a buffer around in-person sessions that accounts for travel, if you are the one travelling.
Team members: Because the address sits on the event, a colleague who takes the booking sends the client to the same place you would. "Consultation at our office" is at the office whoever runs it.
Frequently asked questions
Can clients book in-person appointments online?
Yes. Give the event an address and switch on In-person meeting. Clients book from the same booking page as any other session, and the address is sent with the confirmation instead of a video link.
Where does the client see the address?
In the confirmation email, in every reminder, in the email they receive if the booking is moved, and in the location field of the calendar invitation, which calendar apps turn into directions.
Do in-person events still get a video link?
No. An event with an address is held at that address, so no video room is created and none appears in the emails or the calendar invite.
Can I offer the same session both online and in person?
Yes, as two events: one with an address and one without. The client picks the one that suits them, and each carries the right details into its confirmation.
Can I take payment for in-person sessions in advance?
Yes. Put a price on the event and the client pays by card when they book, into your own Stripe account. BooknTalk charges €1 per paid booking with no monthly fee, and free events cost nothing.
An in-person appointment needs exactly what an online one does, a time, a confirmation and a way to get paid, plus one more line. Put the address on the event once, and it reaches every client, every reminder and every calendar without you typing it again.
