Per-Seat vs Per-Booking Pricing: What It Costs
Booking tools are priced in one of two ways. Most charge a monthly fee for every person on the account, whether that person took forty bookings or none. A few charge a small fee on each paid booking and nothing in between. Neither is cheaper in general. Which one costs you less depends on three numbers you already know: how many people take bookings, how many paid bookings they take, and how steady that is across the year.
The two pricing models
Per-seat pricing is the subscription most scheduling tools use. You pay a fixed amount per person per month, usually with a discount for paying a year up front. Calendly, for example, lists its Standard plan at $10 per seat per month and its Teams plan at $16, both billed annually, as published in mid-2026. The bill is predictable, and it is the same in a quiet month as in a busy one.
Per-booking pricing turns that around. There is no monthly fee; the tool charges when a client pays for a booking. BooknTalk works this way: €1 per paid booking, whatever the session costs, refunded if you refund the client, and nothing for free events. The bill follows your income, so a quiet month costs little or nothing.
Card processing is separate in both cases. Whichever tool you use, Stripe or another processor takes its own fee on each payment, so leave it out when comparing the two models.
Example 1: a solo coach
A coach on their own takes eight paid sessions in a typical month and has a slow summer. On a $10 seat, the year costs $120 regardless. Per booking, eight sessions a month for eleven months and a few in August come to roughly €90.
The break-even point is easy to work out: divide the monthly seat price by the per-booking fee. Against a $10 seat that is about ten paid bookings a month, a little fewer once you convert euros to dollars. Below it, paying per booking is cheaper; above it, the seat is.
Rule of thumb: Monthly seat price ÷ fee per booking = the number of paid bookings per person per month at which both models cost the same.
Example 2: a weekly group class
Group classes are where a per-booking fee adds up fastest, because every paying student is a booking. In BooknTalk each paid seat in a class costs €1, so a weekly class with eight paying students costs about €34 a month. One $10 seat would be cheaper.
That changes if the class is free or only some sessions are paid. Free classes cost nothing on a per-booking tool however many people attend, which makes trial lessons and open evenings free to run. If most of your sessions are paid group classes every week, a flat seat price is likely the better deal, as long as the plan you pick includes group bookings and payments.
Example 3: a small team
Per-seat pricing grows with headcount, not with work. A team of five on a $16 seat pays $960 a year before anyone takes a booking. If that team takes 80 paid bookings a year between them, a per-booking tool charges €80.
Turn the numbers up and the answer flips. Five people each taking 30 paid bookings a month is 1,800 bookings a year, or €1,800, against the same $960 in seats. A busy, full-time team usually pays less per seat. A team where some members take a few bookings a month, or work seasonally, usually pays less per booking.
How to decide in five minutes
Pull last year’s numbers from your calendar or your payment provider, then:
- Count the people who need to take bookings, and multiply by the annual seat price of the plan that includes payments.
- Count last year’s paid bookings, including each paid seat in a class, and multiply by the per-booking fee.
- Compare the two, then look at your quietest three months on their own: that is where the models differ most.
The short answer: Steady, high volume per person favours a seat. Irregular, seasonal or part-time booking favours paying per booking.
Frequently asked questions
Is per-seat or per-booking pricing cheaper?
It depends on volume. Divide the monthly seat price by the per-booking fee to get the break-even number of paid bookings per person per month. Fewer than that and paying per booking is cheaper; more and the seat is.
What does BooknTalk cost?
€1 per paid booking, or per paid seat in a group class, with no monthly fee and no charge per team member. Free events cost nothing, and if you refund a client the €1 is refunded too. Stripe’s card fees apply separately.
Do I pay for team members who take no bookings?
On per-seat plans, usually yes, every seat is billed each month. On BooknTalk there are no seats: a team member who takes no paid bookings costs nothing.
Are card fees included in either model?
Usually not. The payment processor charges its own fee on each card payment whichever booking tool you use, so compare the booking tools without it.
Neither model is a trick; they suit different calendars. If your bookings are steady and plentiful, a seat is good value. If they come and go, or most of your team books only now and then, paying per booking means the tool costs nothing in the months that earn nothing.
